Delivery OS · The AI-assisted operating system for project and programme delivery

The meeting ends. The RAID log is reconciled before your coffee's cold.

An assistant for Claude, Microsoft Copilot or ChatGPT that reads your RAID log, turns each meeting transcript into reviewed changes, and drafts the follow-up email. No duplicates, no orphaned refs, and nothing logged until you say so.

The first module of Delivery OS, a toolkit for project and programme managers.

A real run with Claude and a Notion RAID log. Waiting time sped up. Try the demo yourself.

The problem

Six ways a RAID log stops being trusted

AI meeting tools can list your actions, but they don't know your RAID log exists. Each of these is built into how the RAID module works.

01

Too bloated to keep on top of

Only real commitments go in. Duplicates are caught, not added.

02

Impossible to prioritise

RAG, trend and due dates, with red and overdue items always first.

03

Chasing actions takes over

A follow-up email after every meeting, and drafted chasers for anything stale.

04

The wrong risks at the wrong forum

Every item belongs to a forum. Escalations get their own linked row.

05

Decisions go unrecorded

Decisions are picked out of the transcript and lead the follow-up email.

06

Too many inputs, no single version

Every meeting is checked against the whole log before anything is written.

How it works

The AI proposes. You approve. Then the log changes.

Install it once in Claude, Microsoft Copilot or ChatGPT (about five minutes) and say “Set up my RAID log”. After that, every meeting is one sentence: “Log this meeting”.

  1. 1 · Add the transcript

Share the transcript or your notes and say “Log this meeting”. From Teams, Zoom or Meet; in Teams with Copilot, it's already there.

  2. 2 · Checks your log first

It pulls your current actions, risks, issues and decisions, including recently closed ones. Where the meeting moved an item on, it drafts an update to that row, not a duplicate.

  3. 3 · Review the drafts

Updates and new items side by side. Edit the wording, owners, dates or RAG, remove anything wrong, or add what it left out.

  4. 4 · Written to the log

Approved changes go in with the right refs, owners and dates. Existing rows get a dated update, and closed items are dated.

  5. 5 · Email to attendees

A follow-up email with decisions, new actions and what closed, ready to paste into Outlook and send.

Try it

Same meeting. Your call.

Walk through a real-style weekly meeting: see what the assistant pulls from the existing log, edit or remove its drafts, approve, and watch the log and the follow-up email update. Two minutes, no sign-up.

Try the demo
  1. 1Reads the log first: what's open, what moved on, what's already there
  2. 2You review: edit the wording, change a RAG, remove or add items
  3. 3Approve: the log updates and the follow-up email is drafted

Why not just ask Copilot?

Any AI can list actions. A RAID log needs more than a list.

The same meeting, two ways. A one-line prompt sees only the transcript. Delivery OS reads your log first, so it knows what's new, what's moved on and what's already there.

A ONE-LINE PROMPT

"List the actions from this meeting."

  1. Tom: review Vendor B's security responses
I-01 is never closed. Your log still shows it Red.
  2. Helen: get a view on UK hosting
The risk itself isn't recorded, so it never reaches the risk register.
  3. Tom: network upgrade on 2 November
Already logged as DEP-01. Now it's in twice.
  4. Tom: book UAT rooms by 20 October
Right, but no ref. You number it yourself.
  5. Helen: plan training
Nobody committed to this. The owner is a guess.
  6. Fix the coffee machine on floor three
    Chatter.

Missing: the decision on in-person demos, and the finished SteerCo action.

DELIVERY OS

"Log this meeting."

UPDATE I-01 Closed on its original row, dated 9 Oct.

CREATE R-01 Logged as a risk, Amber, owned by Helen.

CREATE A-03 UAT rooms. Ref continues from A-02.

CREATE D-01 In-person demos, recorded as a decision.

DROP DEP-01 Recognised as already logged, and shown.

QUESTION SteerCo A-01 looks done. Close it there?

LEFT OUT Training and the coffee machine.

Then it waits for your approval, updates the log and drafts the email.

Questions

Which AI tools does it work with?

The prompts work in Claude, ChatGPT and Microsoft Copilot. If your firm runs on Microsoft 365, the pack includes a ready-to-paste Copilot agent and prompts for use straight after Teams meetings. Claude users get an installable skill, and ChatGPT users a one-paste setup for a Project. Whichever you use, you set it up once and then just say what you need, like “Log this meeting”.

Will the AI change my log without asking?

No. Every prompt proposes changes for review. Nothing is logged until you approve it.

I already have a RAID log. Do I need to switch?

No. It reads whatever log you give it first, in Excel, Notion, SharePoint or Smartsheet, and proposes updates to your existing rows as well as new ones. The Excel and Notion templates are there if you want a clean start, and it can import your current log into them.

Is it safe to put client meeting transcripts into AI?

Use your organisation's approved, business-grade AI account, not a personal one. The guide covers what to strip out, recording consent and why the human review step matters.
